The Law Office of Angela N. Manz, P.C., an established Virginia Beach law firm, concentrates its practice in estate planning, estate and trust administration, Medicaid planning, and long-term care planning. We have an immediate opening for a motivated and detail-oriented Paralegal to support our Estate Planning and Estate & Trust Administration practice.

Position Summary

The Paralegal will assist attorneys with estate planning and estate and trust administration matters. This position requires strong drafting skills, organization, attention to detail, and the ability to manage multiple deadlines efficiently.

Primary Responsibilities

  • Draft correspondence, legal documents, and estate planning/administration documents
  • Open, organize, and maintain estate and trust administration files
  • Monitor and manage deadlines for courts, creditors, accountings, attorneys, and clients
  • Coordinate client meetings and appointments
  • Communicate directly with clients via telephone and in person
  • Manage assigned client matters to ensure timely progression and completion
  • Accurately record and maintain billable time in the firm’s timekeeping system
  • Provide administrative and case support as needed

Qualifications

  • Minimum of two (2) years of experience in estate planning, estate administration, probate, wills and trusts, or related practice area preferred
  • Bachelor’s degree, Paralegal Certificate, or at least two (2) years of legal or related experience required
  • Proficiency in Microsoft Office 365 (Outlook, Word, Excel) and Adobe Acrobat Pro
  • Ability to learn and work within cloud-based practice management software
  • Ability to obtain a Virginia Notary Public commission

Administrative Assistant

Administrative Assistant Job Summary: Provide administrative support to the team to include daily administrative tasks and coordination of client care support and the law firm’s daily operations.

Essential Responsibilities:

  • Assist in answering incoming telephone calls and coordinating, scheduling appointments and conferences.
  • Draft and mail correspondence and other documentation.
  • Copy and scan documents and maintain filing systems.
  • Maintain multiple internal firm-tracking spreadsheets.
  • Perform other duties to support firm and clients such as email management, office and document management, word processing, spreadsheet development, records management, data collection, report processing, copying, scanning, filing.
  • Assist and coordinate the managing partner and firm in every administrative capacity.
  • Other tasking as required to support office team lead and attorneys.

JOB REQUIREMENTS:

Required Skills:

  • Personable and warm demeanor with clients and employees, especially towards seniors and disabled individuals.
  • Professional telephone etiquette and ability to communicate well with seniors is required.
  • Ability to multi-task and work in a team-oriented environment.
  • Proficient in Microsoft Office particularly Outlook, Excel, Word, and Power Point and must have the ability to learn new software systems as firm uses cloud-based practice management software.
  • Self-driven, with excellent organizational, interpersonal, communication, problem-solving, and analytical skills.
  • Exceptional attention to detail and extremely organized.

Education and/or Experience: Associate’s degree preferred and at least 1 year related administrative or professional experience required. Legal experience not required.

Compensation: Pay range starts at $20 per hour / 40 hours per week and may be adjusted depending on experience.
